Administrative Assistant – Hotel Development

The Administrative Assistant ensures the professional and smooth operation of Kempinski Hotels Chief Development Officer’s (CDO) office. He or she is responsible for providing administrative support to the CDO as well as other executives as assigned.

Key Responsibilities:

  • Supporting the Chief Development Officer in the organisation of all his activities including management of diaries, making appointments, attending meetings, booking flights and accommodation, transportation
  • General administrative support to the development department
  • Schedule meetings and conference calls with internal and external stakeholders, taking minutes of meetings
  • Updating the calendar and making sure conference rooms are set up for the meetings
  • Managing all incoming and outgoing correspondence, i.e. sort and read mail, draft responses, on behalf of the CDO
  • Preparing PowerPoint presentations and Excel sheets, updating the same when necessary
  • Processing expenses
  • Maintaining databases / tracking documents, to-do items
  • Obtaining signatures on contracts and other documents
  • Helping to maintain onsite and offsite paper and digital files
  • Involvement in development department projects
  • Assisting the department with follow-ups

Desired Skills & Qualifications:

  • Fluent in English and French
  • Strong organisational skills
  • Advanced working knowledge of Microsoft Office (Word, Excel, PowerPoint)
  • Strong interpersonal skills
  • Meticulous, detail-oriented
