Engineering Coordinator is responsible for providing a full range of secretarial and administrative support activities for the Engineering department to ensure a high level of coordination amongst other departments and Engineering sections.

Key Responsibilities:

  • Organizes daily incoming correspondence, making preliminary assessment and handles/ responds as appropriate. 
  • Answers and screens all incoming telephone calls and visitors to DOE, provides/ receives information or refers the matters to the proper persons to handle. 
  • Keeps DOE calendar constantly updated to facilitate appointment and meeting schedules. 
  • Functions as an administrative link between and among all sessions of Engineering to ensure that all parties receive the relevant information. 
  • Arranges for various meetings for DOE, taking meeting minutes when required. Prepare correspondence documents for the meetings. 
  • Provide adequate supplies of stationary and ensures that the following forms are used and kept updated at all times:
  1. Timesheets
  2. Purchase orders
  3. Travel authorizations for business trips
  4. Absenteeism, Holiday and sick leave
  5. Expense forms
  • Maintain and update inventory: control of all gifts and giveaways. 
  • Maintain an up-to-date operating manual of the department, including policies and procedures, rules and regulations.
  • Ensure the strict confidentiality of information passing through the office. 
  • To take on tasks delegated by DOE. 
  • Additional responsibilities and tasks can be added at any time according to the needs of the business and of the hotel.

Desired Skills & Qualifications:

  • People Oriented, Team-oriented, Creative and Passionate for European Luxury.
  • Min. Diploma degree in Engineering, Hospitality Management or in Office Administration
  • Min. 2 years’ experience in the same field (preferably from 5* Hotel/Property Management)
  • Excellent written and verbal communication skills both English and Bahasa
  • Computer literacy – Ms. Office
