Groups Coordinator

Responsible to materialize the maximum number of request and reservations. The role of a Groups Coordinator is executed satisfactorily when all Kempinski group reservations standards are implemented and complied to.

Key Responsibilities 

  • Monitor group reservation activity daily and communicate status with Sales Department, Front Office, and Reservations. Follow up on group bookings with respective Sales Manager to update status.
  • Ensure group files are accurate and kept current (electronic and hard copy).
  • Ensure that group requirements are entered completely and accurately as per the signed contract and resolve any discrepancies with the Sales Manager.
  • Ensure that group room blocks are released to general inventory after group’s cut-off date or cancellation working close to the Reservations Manager.
  • Ensure that rooming lists are input accurately and completely with special attention to billing procedures, guest accommodation, special requests (sea view, non-smoking, etc.).
  • Coordinate with the account Sales Manager and Credit department for billing instructions and proper backups. Chair Group meeting to coordinate with the operations department prior arrival of the groups
  • Receive the hand over from the Sales Manager and keep each group masters with designated information for each group booking updated.  Process changes forms received from Sales after checking availability; resolve any discrepancies in a timely manner.
  • Advise Reservations Manager, Reservations Supervisor and Sales Manager immediately of any discrepancies regarding actual numbers cf. contracted block
  • Maintain complete knowledge of:
    • All hotel facilities/services, hours of operation.
    • All guest room layouts, bed types, decor, appointments, and locations.
    • Room availability for any given day.
    • Restricted dates, rates, and room types.
    • All room rates, packages, and promotions.
    • Specific arrangements between hotel and travel agencies, corporate reservations center.
    • Entertainment/special events scheduled in hotel.

Desired Skills & Qualifications

  • Professional Certification (Bachelor, University Degree, or Hotel School Diploma)
  • At least two years of professional experience in handling and coordinating group reservations in a luxury hotel
  • Opera central systems knowledge
  • Knowledge of Opera PMS is imperative
  • Proficient in Microsoft Office tools
  • Ability to work and communicate effectively in a multinational environment:
    • English—excellent verbal and written skills
    • Local language—excellent and written skills
